Overview

As a Project Assistant, you will provide project and program support under the direction of a manager or senior manager.  You will assist in project development, concept definition, procurement, implementation, and close-out.  Duties will include research, planning, developing schedules, reporting on status, coordinating activities, tracking budgets and expenditures, and managing documentation and communication plans.  Specific roles will vary by project or program.  You may be assigned to lead one or more elements of a larger project or lead a smaller project under the direction of a supervisor or manager.

Essential Duties

  • Develop and maintain project or program documentation (decision memos, project status reports, etc.) ensuring thorough communication and record keeping.  Identify and resolve communication or documentation issues.  Coordinate and lead project team meetings or provide support to individuals to discuss and resolve issues related to project requirements, schedule, budget, or documentation. 
  • Conduct project and product research to determine industry standards, best practices, and regulatory requirements.  Recommend actions to improve performance and compliance.
  • Provide technical testing/support, field work, and administrative support to the assigned Division with careful attention to regulatory, legal, and contractual requirements and understanding of design, implementation, or technical issues.
  • Assist the Program by leading one or more assigned elements of a project management plan or project(s).
  • Receive, review and process invoices.  Monitor budget expenditures and status.
  • Coordinate with consultants and contractors to gather information, provide direction and resolve issues. 
  • Perform other duties of a similar nature or level.

Requirements

Minimum Qualifications

  • 2 years of experience performing highly detailed work such as project tracking, scheduling, document review, and task management.
  • 2 years of experience in administrative support, such as managing project budgets, reconciling invoices, and documentation.
  • An Associate degree or higher in a relevant area may substitute for 2 years of experience. 

An equivalent combination of education and experience to successfully perform the job duties is also accepted.

 

Knowledge Requirements

  • Detailed knowledge of MS Office suite including scheduling, resource allocation and report generation applications.
  • Email systems.
  • Project management techniques, scheduling, and project cost accounting.

Preferred Knowledge and Skills

  • Project management training or certification.
  • Transit industry experience.

Working Conditions

 

Hybrid telework may be available.  Availability is at management discretion and may not be available for this position based on the nature of the work.  Work is performed in an office environment and requires the use of office equipment and technology.  You will be required to move throughout and between different office buildings and may need to complete tasks in noisy environments.  You may also be required to lift and carry materials up to 10 pounds occasionally.
